Events Overview

Lucy Claire Events was initially engaged for venue sourcing but quickly expanded to full event management for our American client’s high-profile CEO Forum and Summit. The event comprised a two-day CEO Forum in Oxford and a large-scale global summit in London

Oxford (Queen’s College & Malmaison Oxford Castle Hotel)
A two-day CEO Forum for 60-70 business founders at Queen’s College
Workshops, breakout sessions and networking lunches in the historic dining hall, famously used in the Harry Potter films
Luxury accommodation at Malmaison Castle Hotel

London (Tobacco Dock & Cocktail Reception)
The summit hosted 350-400 attendees at Tobacco Dock, requiring extensive logistical coordination
A main plenary room and 4 breakout spaces were set up for panel discussions and workshops
Post-summit drinks reception hosted at Tobacco Dock for all guests
A pre-summit cocktail reception was hosted at Marco Pierre White at the New Road Hotel, Whitechapel, for 150 guests

Services Delivered

  • Coordinating across two major UK cities with tight turnarounds
  • Full accommodation and transport logistics from Oxford to London were arranged
  • Frequent virtual collaboration with our US-based client and a site visit in July with our client to finalise arrangements
  • Organising accommodation at the Malmaison Oxford Castle and New Road Hotel, London, for multiple guests
  • Ensuring seamless branding design printing and placement, registration and badging, catering, furniture hire and AV logistics at a dry-hire venue
  • The CEO Forum provided an intimate yet inspiring setting for executive discussions in Oxford.
  • The London summit was executed flawlessly, delivering a premium experience for all attendees
